Why are leads missing when syncing HubSpot lists to campaigns?

Sometimes the number of leads in a HubSpot list won’t match the number of leads you see in an AiSDR campaign. This is usually expected.

Common reasons:

1) Sync is still processing
After you connect a HubSpot list to a campaign, it can take time for all leads to appear in AiSDR, especially for large lists.
What to do: wait 10–15 minutes, then refresh the campaign.

2) Duplicates were closed in AiSDR
If HubSpot shows more leads than the AiSDR campaign, some leads may already exist in other AiSDR campaigns. AiSDR identifies them as duplicates and automatically closes them, so they won’t be added again.

If it still doesn’t look right:

If the lead count doesn’t change after some time and duplicates don’t explain the difference, share the following with the Customer Success team:

  • HubSpot list name

  • AiSDR campaign name

  • Approx. lead counts in each

  • Time you connected the list to the campaign
