Setting Up Mailboxes on Your Domain

Last updated: September 24, 2025

At AiSDR, we strongly recommend letting us handle your domain and mailbox creation from start to finish. We follow industry best practices and set up everything for optimal deliverability, meaning you don’t need to worry about technical details.

What if You Want to Use Your Own Domain?

If you already own a domain and want us to set up a mailbox on it, we can help, although it’s not our recommended route. Here’s why:

Things to Consider

  • Takes More Time: Setting up mailboxes on your domain is a slower process compared to letting us handle everything from scratch.

  • Limited Control: Without full access to your DNS and email settings, we might face delays or technical issues we can’t quickly resolve.

  • Deliverability Risks: If DNS, SPF, DKIM, or DMARC records aren’t set up correctly, your emails might end up in spam or face reputation issues.

  • Troubleshooting: Fixing problems can be slower since we’ll need your help to make changes on your end.

  • Ongoing Maintenance: Any changes you make to your domain in the future could impact your mailboxes, and will require more back-and-forth.

Still Want to Use Your Own Domain?

Here’s how it works:

  1. Send us your domain name.

  2. Then we deploy the DNS records in two stages:

    • First batch: We start with the records required for basic email functionality and domain verification:

      • TXT record for domain verification

      • SPF TXT record

      • MX records for receiving emails

    • Second batch: Once the first batch is verified and working, we add more advanced authentication and reporting records:

      • DKIM TXT record

      • DMARC TXT record

  3. Once you confirm that the records have been successfully added, we will create the mailboxes for you.
